Reading and exporting submissions

Reading and exporting submissions

A submission is one completed (or in-progress) capture of a form by a field worker. Open Forms → [a form] → Submissions to see every submission for that form.

What you'll see on a submission

  • Every field's answer, in the order it appears on the form.
  • Documents — PDFs generated automatically by any output template configured for the form (see Output templates and branding). These are separate from raw file/photo attachments captured on the form itself.
  • Attachments — photos, signatures, and files the field worker captured directly, each downloadable individually.
  • A signed file link is a time-limited, no-login-required URL to one file — useful for sharing a single photo externally without giving someone access to your whole account. It expires after a short window; generate a fresh one if it's expired.

Exporting

Use Export on a form's submissions list to download every submission for that form as a spreadsheet-friendly file. For an ongoing, scheduled, column-picked export instead, see Designing a report — a report definition is the right tool when you need the same export automatically, on a schedule, rather than a one-off download.
